Save Money & Print your own Deposit Slips for Quickbooks

This post will show you how to print your own banking deposit slips and then have QuickBooks automatically fill them out so all you have to do is drop off the slip and your pile of checks at the bank. 

We will perform this feat in two steps. In the first step we'll setup the Excel template to print the deposit slips. In the second step we'll feed our printer with the efforts of our first step and have Quickbooks fill out the deposit slip.

Step 1.  One-time setup of your deposit slip

1. Download the template and the font using the links above

2. Install the font onto your computer (instructions on how to do this in a separate blog post bellow)

3. Open up your template you just downloaded in Excel (it will look like the image bellow)

4. Fill in your Company Name, address and phone number on the left hand side.

5. Fill in the Bank name and address

6. The next step is to fill in your bank routing number and you account number. You can find this information at the bottom of one of your checks.

7. You need to highlight the cell first. If you see in the picture above I have the routing numbers cell highlighted . What you see in the cell is this:

Warning: do NOT delete the letters. Only replace the zeroes.

You will put the bank routing number between the Capital  "A" and the lower case "a" overwriting the zeroes.

You will put your account number between the lower case "a" and the "c" at the end.  Again only overwriting the zeroes.

8. Once you are done save the bank deposit slip and print out a sample to make sure all your information is correct. If it is, congratulations, you are ready to deposit your hard earned cash.

The next step will be to tell QuickBooks to print to our custom made deposit slips.

 

Step 2. Print to the deposit slip from QuickBooks

1. In order for QuickBooks to fill out your deposit slips you will off-course need to have all the checks you need to deposit into QuickBooks already.

2. If that is done, then you will need to put the pre-printed deposit slip template from above into your Printer's paper tray

3. Then in QuickBooks you will click on the Banking drop down menu. The Banking drop down menu is located towards the top of the window between the Employees and Reports menu items.

4. Click on Make Deposits from the menu

5. Select the checks to be deposited and the Banking Account

6. Click on Print.

8. If the numbers on the printed slip don't quite fit into their boxes you can adjust the top margin up or down. I've found most often it needs to be adjusted towards the top and have our top margin set to 0.15" Your mileage may vary on this one and your settings may be a little different, but once you get it right, you'll never need to adjust it again.
